EVENT GUIDELINES

Community & Participant Guidelines

All conference or event registrants must read and agree to the policies outlined below before attending the Users Conference or other Sharetec hosted event. If you are registering on behalf of another individual, you must ensure that the person participating is aware of these policies and receives and reviews their own copy. You agree to these guidelines when you accept them during online registration and by attending the event. Sharetec, LLC (d/b/a Bradford-Scott Data Corporation) may update them before the event; the version linked from the registration page and is the version that applies regardless of the version at time of registration. Sharetec Community Agreements

We are committed to providing a safe, productive, and welcoming environment for all event attendees, vendor sponsors, and Sharetec staff. All participants, including, but not limited to, attendees, vendor sponsors, keynote speakers, and other exhibitors, are expected to abide by these Agreements. Participants are also expected to follow all rules of the host venue and hotel.

Sharetec does not tolerate discrimination or harassment at the event in any form. If you experience any form of harassment or hear of any unacceptable or disruptive incidents, Sharetec asks you to notify simplicity@sharetec.com so we can review the matter and respond as we determine appropriate. We do not tolerate retaliation against anyone who raises a concern in good faith. We handle reports as discreetly as circumstances allow, but we cannot promise confidentiality or anonymity.

Unacceptable or disruptive behavior is defined as:

  • Harassment, intimidation, or discrimination of any form, including sexual harassment
  • Verbal abuse of any attendee, speaker, exhibitor, staff member, event coordinator, or any other event participant
  • Other unprofessional conduct that a reasonable person would find abusive, threatening, or materially disruptive to the event

Examples of prohibited conduct include, but are not limited to, comments related to gender, gender identity or expression, sexual orientation, disability, physical appearance, body size, race, religion, national origin, age, military or veteran status, or any other characteristic protected by law, inappropriate use of nudity and/or sexual images in public spaces or presentations, or threatening or stalking (either in-person or digitally) any attendee, speaker, exhibitor, staff member, event coordinator or other event participant.

Recording, Confidentiality & Materials

Participants are asked to adhere to the following rules:

  • The recording and transmission of any workshop sessions/presentations, demos, videos, or content by attendees in any format is strictly prohibited, which also includes any event-related materials sent to attendees post-event, unless Sharetec consents in writing
  • Disruption of presentations during general sessions, breakout sessions, keynote speeches, demos, or content by attendees throughout the event will not be tolerated
  • Personal photos of exhibit areas, meals, receptions, and general event atmosphere are welcome, as long as they do not capture session content, any screen showing Sharetec confidential or member information, or anyone under the age of 18 without written parental consent.
  • If you need to record or caption a session as a disability accommodation, contact us at least 14 days before the event and we will make arrangements.

Event materials and presentations remain Sharetec property, and attendance grants no license to them. Product roadmap and unreleased functionality shared at the event are Sharetec confidential information — please keep them within your organization and do not share them with Sharetec competitors. Statements about future products, features, or release timing reflect current plans only, are subject to change, and are not a commitment.

Sharetec reserves the right to take any necessary and appropriate action, including immediate removal from the event without warning or refund, in response to any incident of unacceptable behavior. Sharetec also reserves the right to prohibit attendance at any future Sharetec events, both in-person and virtual. Removal from the event does not change, and gives no right to withhold or offset amounts due under, any service agreement between Sharetec and your credit union.

Photo & Video Release

Sharetec will take photos and videos of attendees throughout the event for Sharetec use, and these assets may appear on Sharetec’s social media pages (LinkedIn, Facebook, Instagram), the website, Sharetec quarterly newsletters, presentations, and promotional materials. Videos, including testimonials, may also be shared with Sharetec prospects. Participants, exhibitors, and sponsors may also photograph and share photos of event activities as long as the photos abide by the recording and transmission guidelines listed above.

By registering for and attending the event, you grant Sharetec and its affiliates and successors a perpetual, worldwide, royalty-free, transferable license to use your name, image, likeness, voice, title, and employer as captured at the event for any lawful business purpose, without further notice, approval, or payment. You waive any right to approve the finished materials and release Sharetec from any related claim, including claims based on privacy, publicity, or defamation. Sharetec is not obligated to remove or recall any photo or video once it has been captured.

We will not photograph or record anyone under 18 for promotional use without a parent’s or guardian’s written consent.

Sponsor Access to the Attendee List

Through their generous support of the event, select sponsors may have access to a copy of the attendee list. The list includes the participant’s name, title, credit union of employment, and email address. You may receive communication from these vendor sponsors. Sharing this information with select sponsors is part of registering for the event. Sponsors receiving the list agree in their sponsorship agreement to use it only for event-related outreach, not to sell or share it, to honor any unsubscribe request, and to delete it within 90 days after the event. Sharetec handles your registration information in accordance with our privacy notice, which also describes any choices available to you under applicable state privacy laws.

Cancellation & Refund Policy

Cancellation requests received in writing on or before April 30th of the conference year at 11:59 p.m. Eastern are eligible for a full refund of registration fees paid. Cancellation requests received in writing on or before 30 days prior to other Sharetec-hosted events at 11:50 p.m. Eastern are eligible for a full refund of registration fees paid. After these dates, registrations are transferable but not refundable. If you neither attend nor cancel or transfer your registration, the full fee still applies. Registration covers the program and the meals and functions listed on the published agenda; travel, lodging, and other personal expenses are your responsibility.

If you can no longer participate but want to substitute a colleague from your credit union in your place at no additional cost, please contact conference@sharetec.com at least five business days before the conference or event. Registrations cannot be resold or transferred outside your organization.

Sharetec may change the  or event date, venue, format, or agenda, or postpone or cancel the conference or event, including for reasons beyond our reasonable control such as severe weather, a public health emergency, venue failure, or government order. If we cancel without offering a virtual alternative, we will refund your registration fee. Refund of the registration fee is your only remedy for any change, postponement, or cancellation — we cannot reimburse travel, lodging, or other costs — so we encourage refundable arrangements or travel insurance.

Other Terms You Should Know

  • Your service agreement is unchanged. Nothing presented or discussed at the event amends any agreement between Sharetec and your credit union, or creates any product, feature, or pricing commitment.
  • Conversations with other attendees. Because attendees include credit unions that compete with one another, please do not discuss rates, fee schedules, pricing, employee compensation, or the division of markets or members with other attendees. The same goes for Sharetec pricing and contract terms. We also ask that conversations about Sharetec, our business partners, and fellow credit unions stay positive and constructive. Candid feedback on our products is genuinely welcome — please bring it directly to a Sharetec team member so we can act on it.
  • Member data. Please do not display or share live member or consumer information at the event — use test or masked data.
  • Risk and liability. Attending a live event involves some risk of illness, injury, and loss of property, and you assume that risk. Sharetec’s total liability relating to the event is limited to the registration fee you paid, except for gross negligence or willful misconduct or where the law does not allow that limit.
  • Gifts and prizes. Your own institution’s gift and ethics policy governs what you may accept. Prize winners are responsible for any taxes, and we may need a Form W-9.
  • Accommodations. For a disability-related or dietary accommodation, contact conference@sharetec.com at least 14 days before the event.
  • Guests and minors. Guests must be registered and badged, and the registering attendee is responsible for their conduct. Anyone under 18 must be supervised by a parent or guardian and may not attend sessions or functions where alcohol is served.
  • Governing law. These guidelines are governed by the laws of the State of Indiana, where Sharetec is headquartered.

How You Agree to These Guidelines

When you register online, you confirm that you agree to these guidelines. Attending the event also constitutes your agreement to them. The instance available on the Sharetec website is the most current and accurate version; this is the version you are agreeing to by registering and/or attending the event. If you register on behalf of someone else, please forward these guidelines to each person attending. Every attendee is responsible for reviewing them, and attending the event confirms agreement.
